We are looking for an Administrative Assistant to fully manage the schedule and other front desk tasks, as well as a Clinical Assistant for our growing team. We are seeking someone that is quick to learn and adaptable to a fast paced, high demand environment. POSITION SUMMARY: The Front Desk Manager/Administrative Assistant is the professional face of this high-end Optometry office that specializes in Dry Eye evaluations. The Clinical Assistant generates important preliminary information to be used by the ophthalmologist; reviews patient status and performs medical tests. ESSENTIAL FUNCTIONS of Front Desk Manager/Administrative Assistant: Schedule patients accurately in person or over the phone in appropriate time slots within OD Link. Maintain confirmed schedule by reaching out to patients in advance of the weeks visits. Reconcile daily sales reports in OD Link database to Merchant Sales to Microsoft excel document. Make corrections as necessary in database. Obtain insurance pre-authorizations and collect appropriate insurance co-pay at time of visits. Answer phones in a professional manner and promptly resolve patient, doctor, and pharmacy requests. Maintain excellence in customer service to all patients in person or over the phone. Cross-train with Lab Technician and frame selection and dispensing ESSENTIAL FUNCTIONS of Clinical Assistant: Reviews patient chart to ensure completeness and accuracy of information. Performs testing required by type of exam scheduled, patient complaint and history. Is able to take an ocular and systemic history and accurately record visual acuity. Is able to perform lensometry, refractometry, applanation tonometry, basic muscle balance testing, assess pupils, assess the anterior chamber, confrontation visual fields and gross external exam. Administer diagnostic tests. Acts as scribe while physician examines patient entering data into electronic medical records or hand-writes- in paper chart, oversees patient flow. Assists with in-office procedures ensuring proper informed consent is obtained, sets up and cleans up from procedures. Assists with patient education. Maintains cleanliness and orderliness of exam rooms during the work day. Maintains positive attitude consisting of cooperation, self-motivation, courtesy, and professionalism. SKILLS & ABILITIES REQUIRED: Strong interpersonal skills Ability to work under pressure Self-Motivation / Shows great initiative Professional appearance Intricate attention to detail Outgoing personality Strong organizational skills Availability on one Saturday a month for Dry Eye institute Ability to multi-task handling the incoming patients, outgoing patients, incoming phone calls, scheduling for patients, and Dr. Brimer requests. Utmost accountability Education: High School Graduate or General Education Degree (GED) Experience: 2 4 years medical experience in eye care preferred Working in professional office Patient interaction Physical Demands: Standing frequently Sitting frequently Walking frequently Job Type: 32-42 hours per week Term: Optometrist
