Position Type: Secretarial/Clerical/Office SupportDate Posted: 4/1/2022Location: Central Office POSITION TITLE: Office Support IV - Career Technical Education (CTE) REPORTS TO: Director of Career Technical Education BEGINNING DATE: Open Until FilledKNOWLEDGE, SKILLS AND ABILITIES: Considerable knowledge and proven experience of accounting practices and office procedures Demonstrated ability to maintain accounting records and reports Must be highly proficient in the use of computers to include the use of a variety of computer application software such as Microsoft Word, Excel, OneNote, and Microsoft Teams Ability to effectively communicate both orally and in written format Ability to plan, organize, and prioritize variable tasks effectively Ability to compose, compile, and summarize information Ability to interact and communicate with staff and the public Excellent customer service skills and attention to detail Ability to efficiently gather and analyze data Ability to be flexible and work well with others Ability to exercise good judgment, take the initiative, and work with minimal supervision Excellent grammar, vocabulary, spelling, punctuation, and proofreading skills EDUCATION, TRAINING REQUIRED: Related associate's degree preferred; or High school graduate and three years of related clerical experience; or an equivalent combination of education and work experience TERM OF EMPLOYMENT: 12 months SALARY: Office Support IV; Salary Grade 61 FLSA STATUS: Non-ExemptPERFORMANCE RESPONSIBILITIES: Manage financial records: Federal, State and Local accounts, purchase orders, invoice processing, leases for various services provided by CTE, check requests, time sheets, in-service, and travel forms. Identify and compile a variety of fiscal data resources in the management of CTE, and assigned program budgets. Utilize AS/400 computer system to process large volumes of complex fiscal transactions related to the payment of personnel, products, and services. Utilize Public Schools of North Carolina LBAAS System to create, amend, and justify federal budget entries. Trace and reconcile monthly ledger and activity reports for Federal, State, and Local accounts. Process large volumes of purchase orders and check requests on a weekly basis. Set up and maintain budget ledger account files for over 110 CTE teachers and related staff. Implement advanced software applications through Office 365 in the development of detailed informational charts, PowerPoint presentations, and desktop publishing activities related to grant applications and day-to-day correspondence. Independently prepare a variety of complex reports and documents such as quarterly and annual financial reports for local, state, and federal programs. Analyze past expenditures relative to preparation of new budget proposals and estimate future funding needs. Access information and initiate responses to resolve problem situations. Handle incoming and outgoing correspondence. Assist in tracking and managing individual teacher inventory for all non-consumable supplies and equipment purchased by CTE funds. Assist in the design and layout of CTE program brochures and website. Research and follow-up on complaints to ensure resolution with vendors and employees. Assist CTE staff members and teachers. Evaluate, create, and/or modify forms as necessary. Assist with service to the public by answering inquiries involving CTE program areas or directing questions to appropriate department members. Other duties as assigned. PHYSICAL REQUIREMENTS: Must be able to stand, sit, or walk for prolonged periods of time. Ability to reach with hands and arms routinely. Ability to bend, stoop, carry, push, or pull. Ability to operate technology for prolonged periods of time. Ability to carry furniture such as tables and chairs, supplies and materials Must be able to lift up to 15 pounds routinely and 30 pounds occasionally. Must be able to visually and auditorily effectively communicate with others. Must be able to drive to variety of school sites.
