"General SummaryThe Duke University Talent Identification Program (Duke TIP) is a nonprofit organization dedicated to serving academically gifted and talented youth in grades four through twelve. Each year, Duke TIP enrolls nearly one hundred thousand new students in its talent searches through above-level testing, recognizes them for their achievements and provides them with a variety of enrichment benefits. TIP offers accelerated face-to-face and online educational programs to more than eight thousand students each year. Position Summary: The Duke University Talent Identification Program Talent Search Senior Program Coordinator will provide detailed direction for the successful operation and implementation of the 7th Grade Talent Search (7GTS). S/he will provide ongoing evaluation and development of annual enrollment services, management of student records, and dissemination of program benefits for 65,000+ 7th grade students who are identified as academically talented. They will also ensure ongoing accuracy of student records for over 350,000 + 7th-12th grade students engaging with benefits affiliated with the Talent Search experience. This position will provide strategic planning for enrollment growth, expansion of benefits, and development of strategies for an inclusive enrollment model that diversifies the pipeline and establishes gateways for non-traditionally identified students (e.g., homeschool, or community-based organizations). S/he will be responsible for cultivating productive partnerships with ACT and College Board to provide positive testing experiences for TIP students and ensuring a seamless and secure transition of student data and testing records. This position reports to the Talent Search Operations Manager and will oversee a team of two full-time employees to execute the annual Talent Search enrollment and testing cycles. Some weekend and evening work is required to meet testing and transmission deadlines. Work Performed Program & Data Management: 50%

  • Collaborate with the Talent Search Operations Manager on enrollment growth strategies, expansion of benefits, and development of strategies to diversify entry points into the talent search.
  • Serve as primary administrator over 7,500 + school and district interactive portal accounts. Collaborate on the design and functionality of the educator portal that provides the framework and infrastructure that will drive deeper and sustained engagement and communication with educators through efficient and interactive tools that will enhance their ability to partner with Duke TIP to reach academically talented students.
  • Oversee student records and portal accounts for 350,000+ students receiving Talent Search related benefits. Serve on student portal working group to increase student engagement with benefits and allows for seamless transition between the 456GTS to 7GTS programs.
  • Supervise all enrollment processes and provide specialized training and guidance to support the 7GTS team for implementation of daily enrollment operations. Establish and maintain accurate student records for all 65,000+ annual 7GTS enrollees.
  • Create annual plan for program improvements, special projects and daily operational enhancements. Ensure continuity of information for changes across multiple platforms (including Jira, TIP database, and online interactive educator and student portal tools). Develop, maintain and implement an annual calendar for projects and daily operations. Including scheduling large mailings and special publications with marketing; implementing changes to student information system and updates to the apply site with IT; working with finance to review budgets and providing monthly enrollment reports to the TS Operations Manager. Serve as subject matter expert on working teams to contribute to the improvement, modification and redesign of the student and educator database and other processes.
    Communications & Customer Support Management: 30%
    • Assist TS Operations Manager with evaluation of entry points. Provide recommendations to eliminate barriers and support a diversified and inclusive enrollment model. Develop strategies to support enrollment of non-traditionally identified students. This includes expanding entry points for students who participate in homeschooling or other community/educational programming.
      Finance Management: 10%
      • Collaborate with the Talent Search Operations Manager and the Finance Director to develop sound fiscal plans to ensure that initiatives will meet budget objectives. Develop budget and provide ongoing budgetary oversight to ensure that expenses and revenues are within acceptable limits. Review and reconcile actual expenses to budget.
      • Manage, review, and negotiate with ACT/College Board on annual services and fees contracts. Oversee all subsequent billing and refunds of TIP associated testers.
      • Prepare financial and operational reports and analyses reflecting progress, adverse trends and appropriate recommendations or conclusions. Assess annual fee structure and make recommendations to TS Operations Manager and Finance Director for setting annual Talent Search associated fees. Supervision: 10%
        • Hire, train and supervise two direct reports. Manage and approve vacation and out of office for staff to ensure proper staff coverage.
        • Conduct employee mid-year and annual reviews and implement improvement plans when needed.
        • Work with HR to hire seasonal help as needed.
        • Provide guidance and support to employees on TIP strategic plan process and support them in integrating those goals into daily operations. Perform other duties as assigned. Qualifications Education/TrainingWork requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.ExperienceWork requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE Preferred: Experience working with schools and/or educators, non-profit organization and or a relevant business environment. Minimum two years of supervision; work experience in customer service or community outreach. Marketing experience helpful. Availability for some travel required. Spanish fluency a plus.
